Get Peppol invoices paid faster: connect e-invoicing with accounts receivable

Peppol delivers the invoice; accounts receivable tracks payment

Peppol standardises invoice exchange but does not guarantee payment. Combine correct invoice data, available Invoice Response messages and reliable accounting or bank records. Resolve queries and rejections first; follow up only a confirmed outstanding balance. Credimigo supports UBL import and Moneybird sync, not direct Peppol status ingestion.

The misconception: Peppol does not automatically mean faster payment

Structured e-invoices can reduce manual entry and make processing easier. They do not change agreed payment terms, internal approvals or your customer’s financial position. Technical delivery does not prove that anyone has read or paid an invoice.

Invoice Response is a separate Peppol process for business-level invoice statuses. Support depends on both parties’ software and providers. Ask which messages you can send, receive and access.

Why it matters now: Belgium, the Netherlands and the EU

Belgium: since 1 January 2026, structured e-invoicing generally applies to domestic B2B transactions between VAT-liable businesses, subject to limited exceptions. Peppol is the stated exchange network. Check official scope guidance.

Netherlands: on 11 September 2026, the cabinet announced its intention to require domestic and international B2B e-invoicing from 1 July 2030. Domestic reporting is planned for 1 July 2031. The plans still need development; the announcement does not mandate a Peppol network.

EU: from 1 July 2030, ViDA introduces digital reporting requirements based on e-invoicing for cross-border intra-EU B2B transactions. This is distinct from domestic Peppol mandates.

Why Peppol invoices can still be paid late

Missing purchase references, incorrect bank details, internal approval or a substantive query can block processing. Without visibility of the exception, a calendar reminder keeps repeating the same unresolved problem.

Without status messages, use due dates, confirmed open balances and bank reconciliation. Silence is not proof of acceptance or non-payment.

7 ways to improve Peppol invoice follow-up

  • 1. Check the Peppol ID, buyer reference and purchase order number where required.
  • 2. Populate structured payment fields: reference, IBAN and agreed due date. A payment link can complement them where supported.
  • 3. Confirm Invoice Response support and visibility with your provider; do not assume it is enabled automatically.
  • 4. Separate MLS from Invoice Response: MLS reports message processing between providers; Invoice Response reports the recipient’s business processing.
  • 5. Assign responsibility for queries, conditions and rejections. Automate only where reliable data exists.
  • 6. Consider one working day as an internal response target for UQ. It is a service target, not a legal deadline or payment guarantee.
  • 7. Combine due date and confirmed balance with previous contacts; never escalate solely because of a code or silence.

Peppol statuses translated into follow-up actions

The official code list calls PD “Paid”, not merely “payment initiated”. It remains the buyer’s message, not independent bank confirmation. AB and AP mean different things in MLS: always use the code list for the correct message type.

CodeInvoice Response meaningSuggested action
ABReceived in readable form; can be processedCheck agreed due date; receipt is not approval.
IPIn processMonitor due date; processing does not itself change terms.
UQProcessing halted pending a queryPause related reminders, assign an owner and respond.
CAConditionally acceptedReview conditions; amend or credit only after assessment.
RERejected; no further processingPause follow-up of the disputed invoice and investigate.
APFinally approved; payment is nextExpect payment as agreed; check balance after the due date.
PDPaid, as reported by the buyerPause for reconciliation; confirm receipt through bank or accounting.

Three layers: invoicing, Access Point and accounts receivable

Your accounting package or ERP creates the invoice. A Peppol Access Point exchanges it over the network. Accounts receivable software uses confirmed balances and business status messages where an actual integration exposes them.

Ask each supplier which statuses are available through a screen or API. Sending and receiving e-invoices does not automatically imply Invoice Response support. Bank reconciliation remains necessary to establish receipt of funds.

Accounting, Access Point and accounts receivable as separate layers
Conceptual chain; direct status ingestion and provider integrations are not yet available in Credimigo.

How Credimigo helps

Credimigo is software for creditors managing their own claims, not a collection agency or certified Peppol Access Point. Manually import Peppol BIS Billing 3.0 UBL XML invoices and credit notes; original documents remain private and duplicates are checked.

Moneybird is the available accounting integration. Payment status comes from accounting or your confirmation. Import alone does not start follow-up or a paid recovery case; existing configured Moneybird automation retains its conditions and automatic-versus-approval choice.

Direct Peppol Invoice Response or MLS ingestion is not available. Exact Online, Odoo and Peppol Access Point provider integrations are Coming soon. The diagrams describe a possible chain, not an active direct Credimigo integration. The Recovery Score is advisory, not a payment guarantee.

Frequently asked questions

Are Peppol invoices automatically paid faster?

No. Structured exchange can help processing, but correct data, buyer approval and reliable follow-up remain essential.

What is Peppol Invoice Response?

A separate Peppol process for business invoice statuses such as receipt, processing, query, approval, rejection and paid. Availability depends on the systems and providers involved.

Does PD prove the money is in my account?

PD officially means Paid and is reported by the buyer. Verify actual receipt through bank or accounting before settling the balance.

Is Peppol mandatory in the Netherlands?

The 11 September 2026 cabinet announcement sets out a planned B2B e-invoicing obligation from 1 July 2030. It does not finalise implementation or mandate a particular network.

What applies in Belgium?

Structured e-invoicing generally applies to domestic B2B transactions between VAT-liable businesses since 1 January 2026, with exceptions. Consult FPS Finance.

Does Credimigo automatically ingest Peppol statuses?

No. It supports manual UBL import and Moneybird sync, not direct Invoice Response or MLS ingestion.

What should I do about RE or UQ?

Investigate the rejection or query, pause related follow-up and resolve the underlying issue. Assess any credit note or replacement invoice first.
