Accounts receivable management vs debt collection: when do you switch?
Accounts receivable management is the full process of getting invoices paid before escalation: reminders, formal notices and payment plans. Debt collection is the escalation step after that, applying formal pressure and, ultimately, legal proceedings. In practice the switchover point is a formal final notice that expires without response, usually fourteen to twenty-one days after the due date.
The difference at a glance
| Receivables management | Debt collection | |
|---|---|---|
| Goal | Get paid and keep the relationship | Enforce payment |
| Tone | Service-oriented, becoming formal | Formal and legal |
| Cost | Low, per reminder | Higher, partly recoverable |
| Timing | From invoice date onwards | After a final notice expires |
| Who communicates | You, under your own name | You or a legal partner |
Three signals it's time to escalate
Don't wait for a gut feeling — wait for one of these three facts.
- The formal final notice has expired without payment and without a response.
- The debtor has broken two or more payment promises.
- There are concrete signs of financial distress, such as several unpaid invoices at once.
Escalating without blowing up the relationship
Always announce an escalation and offer one last alternative: a payment plan or a settlement. Debtors who want to pay but can't all at once respond better to that than to a threat letter. In Credimigo's Resolve phase this happens automatically, with a human approving every step.
Frequently asked questions
How many reminders before collection?
One legally correct final notice with a reasonable deadline is enough; two friendly reminders before it work better for the relationship.
Will I lose the customer if I escalate to collection?
Not necessarily, provided you keep communicating under your own name and keep offering a way to resolve it.
Can I handle debt collection myself?
The amicable phase, yes, with the right software. For court proceedings you'll need a legal partner.
